1. Who we are

Timlead (“Timlead”, “we”, “our”, or “us”) is a SaaS company that provides a unified field operations management platform — including digital forms, ticketing, GIS mapping, dispatch, billing, and collaboration tools — to businesses worldwide.

Timlead is operated by Timlead SAS with offices in Morocco (Technopark Casablanca), France (Paris & Toulouse), Ivory Coast (Abidjan), and Spain (Alicante). This Privacy Policy explains how we collect, use, store, and protect personal data when you visit our website at getstarted.timlead.com or use any of our services.

2. Information we collect

We collect information in the following ways:

Information you provide directly

  • Contact details (name, email address, phone number, company name) when you request a demo, fill out a contact form, or subscribe to communications.
  • Account credentials and profile information when you register for a Timlead account.
  • Payment and billing information when you subscribe to a paid plan.
  • Content you upload or generate through the platform, including digital forms, field reports, photos, signatures, and documents.

Information collected automatically

  • Device and browser information (IP address, browser type, operating system).
  • Usage data (pages visited, features used, time spent, clicks).
  • Location data when using our GIS and mapping modules (only with your consent).
  • Cookies and similar tracking technologies (see Section 10).

Information from third parties

  • Integration data from connected systems such as Microsoft 365, SharePoint, ERP or CRM platforms, as authorized by you.

3. How we use your information

We use the information we collect to:

  • Provide, operate, and improve the Timlead platform and all its modules.
  • Process demo requests and respond to inquiries.
  • Manage user accounts, authentication, and access permissions.
  • Send service-related communications (onboarding, updates, security alerts).
  • Send marketing and promotional communications (you may opt out at any time).
  • Analyze platform usage to improve performance, features, and user experience.
  • Generate aggregated, anonymized analytics and KPI reports.
  • Enable AI-ready features such as forecasting, anomaly detection, and optimization (on anonymized or aggregated data).
  • Comply with legal obligations and enforce our Terms of Use.

4. Legal bases for processing (GDPR)

For users in the European Economic Area (EEA), we process your personal data under the following legal bases:

  • Contract performance — to provide the services you have subscribed to.
  • Legitimate interests — to improve our platform, prevent fraud, and ensure security.
  • Consent — for marketing communications and non-essential cookies.
  • Legal obligation — to comply with applicable laws and regulations.

5. Data sharing and disclosure

We do not sell your personal data. We may share your information with:

  • Service providers — trusted third parties who help us operate our infrastructure (cloud hosting, analytics, payment processing, email delivery), under strict data processing agreements.
  • Integration partners — platforms you connect to Timlead (e.g., Microsoft 365), solely to enable the integration you have requested.
  • Business transfers — in the event of a merger, acquisition, or sale of assets, your data may be transferred as part of the transaction.
  • Legal requirements — when required by law, court order, or regulatory authority.

6. Data retention

We retain your personal data for as long as your account is active or as needed to provide you with our services. After account termination, we retain data for a maximum of 12 months unless a longer retention period is required by law. Aggregated, anonymized data may be retained indefinitely for analytics purposes.

7. Your rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — request correction of inaccurate or incomplete data.
  • Erasure — request deletion of your personal data (“right to be forgotten”).
  • Portability — receive your data in a structured, machine-readable format.
  • Restriction — request that we limit processing of your data.
  • Objection — object to processing based on legitimate interests or for direct marketing.
  • Withdraw consent — withdraw consent at any time where processing is based on consent.

To exercise any of these rights, contact us at contact@timlead.com. We will respond within 30 days. You also have the right to lodge a complaint with your local data protection authority.

8. Data security

Timlead is ISO certified and GDPR compliant. We implement industry-standard technical and organizational security measures including encrypted data transmission (TLS), access controls, regular security audits, and secure cloud infrastructure. While we take every reasonable precaution, no system is entirely immune to risk. We encourage you to use a strong password and to contact us immediately if you suspect unauthorized access to your account.

9. International data transfers

Timlead operates globally with offices in Morocco, France, Ivory Coast, and Spain, and serves users across 15+ countries. When personal data is transferred outside the EEA, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses (SCCs) approved by the European Commission, or other legally recognized transfer mechanisms.

10. Cookies and tracking

We use cookies and similar technologies to operate and improve our website and platform. These include:

  • Essential cookies — required for the platform to function (authentication, session management).
  • Analytics cookies — to understand how visitors use our website (e.g., page views, feature usage).
  • Marketing cookies — to deliver relevant communications (only with your consent).

You can manage cookie preferences through your browser settings or our cookie consent banner. Disabling essential cookies may affect platform functionality.

11. Children's privacy

Timlead is a B2B platform intended for use by businesses and professionals. We do not knowingly collect personal data from individuals under the age of 16. If you believe a minor has provided us with personal data, please contact us immediately and we will take steps to delete it.

12. Changes to this policy
